Privacy Policy

    Effective date: October 23, 2026

    We do not sell personal information. Schools own and control their students' data, and we use it only to run the service for them.

    1. Who we are and what this policy covers

    Dojo Champ LLC ("Dojo Champ," "we") provides software for martial arts schools. This policy explains how we handle personal information on our websites, during signup and sales, and when schools use our platform.

    Two roles. For our own website visitors, leads and school account owners, we decide how information is used (we are the "controller" or "business"). For information that schools enter about their students, parents, guardians, staff and leads ("School Data"), the school is in charge and we process it only on the school's instructions as a service provider or processor, under our Data Processing Addendum. If you are a student or parent, please contact your school first about your information; we will help the school respond.

    2. Information we collect

    You give us: name, email, phone, school name and address, account credentials, billing details (cards are handled by our payment processor; we do not store full card numbers), support messages, demo and form submissions.

    Schools give us (School Data): student and family contact details, dates of birth, belt ranks, attendance, class enrollments, memberships and payment history, signed waivers and agreements, photos, emergency contacts, medical or allergy notes the school chooses to record, messages, and lead information.

    Collected automatically: IP address, device and browser data, pages viewed, referring links, approximate location from IP, and cookie or similar identifiers, as described in our Cookie Policy.

    From others: payment processors (payment status), messaging carriers (delivery status), advertising and analytics partners, and public business listings.

    3. How we use information

    • provide, operate, secure and support the Service, including billing, payments, messaging, kiosks and portals;
    • process transactions and send receipts, account, security and service notices;
    • improve and develop features, including through aggregated or de identified data;
    • market Dojo Champ to schools (you can opt out at any time);
    • detect and prevent fraud, abuse and security incidents;
    • comply with law, enforce our terms and protect rights and safety.

    5. How we share information

    We do not sell personal information. Our website may share advertising information with Meta as described below, subject to regional consent requirements and your opt outs. We share information only with:

    • Service providers (subprocessors) that help us run the Service, such as cloud hosting and database (Supabase, Cloudflare), payments (Stripe), SMS (Telnyx), email (Resend), AI processing, analytics (Google) and error monitoring, under contracts that limit their use of data;
    • The school that controls School Data, and the people the school authorizes;
    • Legal and safety recipients when required by law or to protect rights, safety or the Service;
    • A successor in a merger, acquisition or sale of assets, subject to this policy.

    Mobile numbers and SMS opt in data are never shared with third parties for their own marketing or promotional purposes.

    6. Facebook advertising and website measurement

    On Dojo Champ marketing pages, completed scorecards and successful school-platform trial activation, Meta Pixel and the server-side Conversions API may send Meta browser and device information, IP address, page URLs without form details, advertising cookie identifiers (such as _fbp and _fbc), event times and random event identifiers. The same identifier links a browser and server report so Meta can count one outcome rather than two. We use this for advertising measurement, attribution and optimization. A completed trial is not a paid subscription. We do not send school student records, email, phone, hashed contact details for matching, payment details or subscription identifiers in these events, and automatic matching and automatic event collection are disabled by our installation.

    Scorecard and demo form information is used to respond to your request and, where permitted, follow up about Dojo Champ. Marketing follow-up choices are separate from advertising measurement; unsubscribe from emails or contact support@dojochamp.com to stop follow-up. Contact information collected in forms is not included in our advertising events.

    In regions requiring prior consent, including the EEA and UK, advertising stays blocked until you accept Marketing. If we cannot determine the region, we ask before enabling advertising. Elsewhere advertising can operate without a banner, but we honor your refusal and Global Privacy Control. You can withdraw or change your choice in Cookie settings; withdrawal stops future events, and previously blocked events are not replayed.

    We store a browser-local consent record with a visitor reference, time, region, notice version and choices, preserving previous acceptance when you withdraw. Our private server measurement records retain the event-time and latest choices and region. Server reporting follows the same advertising permission, never bypasses refusal and does not replay blocked events. Meta processes received data under its own privacy policy. Cookie refusals, browser blocking and attribution rules may limit reporting.

    7. Children's information

    Our websites are not directed to children and we do not knowingly collect personal information directly from children under 13 for our own purposes. Schools, however, may enter information about students who are minors. In that case the school (and the parent or guardian who enrolls the child) provides the information, the school is responsible for obtaining any required parental consent, and we use it only to provide the Service to the school. We do not use children's information for advertising.

    Parents may review or request deletion of their child's information through the school, or by emailing support@dojochamp.com and we will work with the school.

    8. SMS and email messages

    Schools send messages through our platform to people who have given the school consent. Message frequency varies and message and data rates may apply. Reply STOP to any text to opt out, or HELP for help. Every marketing email includes an unsubscribe link. We keep records of consent and opt outs to honor them.

    9. AI features

    When a school uses AI features, relevant data is sent to our AI provider only to produce the requested result. We do not permit providers to use School Data to train their general models.

    10. Retention

    We keep personal information while an account is active and as needed to provide the Service. After a school cancels, School Data is available for export for 30 days and then deleted or de identified within 90 days, except backups (overwritten on a rolling basis) and records we must keep for legal, tax, payment or dispute reasons. Message and audit logs are pruned on fixed schedules.

    11. Security

    We use administrative, technical and physical safeguards, including encryption in transit, access controls, row level data isolation between schools, and monitoring. No system is perfectly secure. If we learn of a security incident affecting personal information, we will notify affected schools and, where required, individuals and regulators.

    12. Your privacy rights

    Depending on where you live (for example California, Colorado, Virginia, Connecticut, Texas, other US states, Canada, the EEA or the UK), you may have the right to access, correct, delete or receive a copy of your information, to opt out of sale, sharing or targeted advertising, to restrict or object to processing, and to withdraw consent. We will not discriminate against you for exercising your rights.

    To make a request, email support@dojochamp.com. We will verify your identity and respond within the time the law requires. You may use an authorized agent. If we deny your request you may appeal by replying to our decision, and you may complain to your local data protection authority. Requests about School Data are passed to the school. We honor Global Privacy Control signals as an opt out of non essential cookies.

    13. International transfers

    We are based in the United States and process information there and wherever our providers operate. Where required, we use safeguards such as the European Commission's Standard Contractual Clauses and the UK Addendum.

    14. Changes to this policy

    We may update this policy. We will post the new version with a new effective date and, for material changes, notify account owners by email or in the Service.
