Accepted Answer

Getting started is simple! Sign up for a free 30-day trial on our homepage. We ask for a card to start, but you are not charged until the trial ends. After signing up, you'll be guided through a quick setup wizard to configure your school details, add your first students, and create membership types. Our customer success team provides free onboarding support, including data migration assistance from your previous software. Most schools are fully operational within 24-48 hours.

Question 3

Can I import my existing student data?

Yes! Dojo Champ makes it easy to import your existing student data from spreadsheets (CSV/Excel) or from other martial arts software platforms like Kicksite, MyStudio, Spark Membership, GymDesk, or Zen Planner. Our migration team will help you transfer all your student records, membership details, payment history, and attendance data. We ensure zero data loss and minimal disruption to your operations during the transition.

Question 4

How long does setup take?

You can start using core features immediately while we complete the data migration in the background.

Question 7

How does student management work?

Accepted Answer

Our student management system lets you maintain detailed profiles for each student including contact information, emergency contacts, medical notes, belt rank, attendance history, and payment status. Family accounts link multiple students under one billing contact for streamlined management. Track progression through ranks, attendance patterns, and engagement metrics. Add custom fields for special requirements like uniform sizes or competition history. Everything is searchable and filterable for quick access.

Question 8

Can I track belt progressions and ranks?

Accepted Answer

Absolutely! Dojo Champ includes comprehensive belt progression tracking. Set up your martial art's specific ranking system (white to black belt, kyu/dan system, etc.), track testing dates, requirements for each rank, and student progress toward their next belt. Generate testing reports, print certificates, and maintain complete historical records. You can customize the system for any martial art discipline including karate, taekwondo, jiu-jitsu, kung fu, or mixed martial arts.

Question 9

Does it include attendance tracking?

Accepted Answer

Yes! Multiple attendance tracking options are available: manual check-in by instructors, student self-check-in via kiosk mode on tablets, QR code scanning with the mobile app, and class roster pre-population based on enrollments. Track attendance patterns, generate attendance reports, identify students at risk of dropping out due to low attendance, and automate follow-up communications for missed classes. All attendance data syncs in real-time across devices.

Question 10

How does the billing automation work?

Accepted Answer

Dojo Champ automates your entire billing process. Set up membership types with recurring billing cycles (weekly, monthly, quarterly, annually), and the system automatically charges payment methods on file. Failed payments trigger automatic retry logic with customizable retry schedules. Late fees are applied automatically based on your rules. Parents receive email reminders before charges and receipts after payment. Payment plans for large purchases (like annual memberships or equipment) can be set up with automatic installments. Everything is PCI-compliant and secure.

Question 11

Can I manage multiple locations?

Accepted Answer

Transfer students between locations, share instructors, and manage franchise operations from a single platform. Perfect for growing martial arts organizations.

Question 12

Is there a mobile app for students and parents?

Accepted Answer

Yes! Students and parents get access to a mobile app (iOS & Android) where they can view class schedules, check attendance history, manage payments and payment methods, update contact information, sign up for events, purchase from your pro shop, communicate with instructors, and receive push notifications for class reminders and important updates. The parent portal is fully responsive and works on any device.

Question 13

Does it support virtual/online classes?

Perfect for supplementing in-person training with online classes, offering distance learning options, or running fully virtual programs.

Question 14

How much does martial arts school software cost?

There are no setup fees, no long-term contracts, and no hidden charges. Start with a 30-day free trial to test everything before committing. Contact our team for custom pricing for multi-location franchises.

Question 16

Is there a free trial?

We believe in earning your business every month, not locking you into contracts.

Question 18

Are there any setup fees or hidden costs?

Accepted Answer

No setup fees, no hidden costs! The price you see is the price you pay.
