Managing Student Payments in Dojo Champ
How to set up recurring tuition, accept cards and ACH, recover failed payments, issue refunds, pause memberships, and track past-due accounts in Dojo Champ.
1. Set up recurring tuition
Go to Memberships → Membership Types and create a plan with the right billing cycle:
- Monthly, quarterly, semi-annual, or annual recurring
- One-time for paid-in-full or class packs
- Optional registration fee billed at enrollment
- Optional trial period before the first charge
Assign the plan from a student's Membership tab. Once a payment method is on file, billing runs automatically on the cycle date.
2. Accept cards, ACH, and in-person payments
Students can save a card or US bank account from the student/family portal or via an enrollment link you send them. Staff can also enter a payment method from the member profile.
- Credit & debit cards (Visa, Mastercard, Amex, Discover)
- ACH bank transfers - 0.8%, capped at $5
- Cash & check, recorded from the POS or member profile
- Apple Pay & Google Pay on supported checkouts
3. Recover failed payments
Open Finance → Past Due to see every invoice that needs attention. For each failed charge, Dojo Champ automatically:
- Retries the card on Stripe's smart retry schedule
- Emails the parent or student with a one-click Update Card link
- Flags the account so it surfaces on your dashboard until resolved
You can also click Retry Now on any past-due invoice to attempt the charge immediately.
4. Freeze, pause, or cancel a membership
From a member's Membership tab:
- Freeze for 30, 60, or 90 days, billing pauses, the student stays in your roster
- Cancel at period end, keeps access until the next billing date
- Cancel immediately, stops future charges right away
Freezing typically converts at ~40% reactivation vs. ~5% for outright cancellation, so offer it first whenever it fits.
5. Refund or waive an invoice
Open the payment from Finance → Payments or the member's Billing tab. You can issue a full or partial refund, funds return to the original payment method in 5-10 business days. For unpaid invoices, use Waive to zero them out without charging. Both actions are logged in the audit trail and reflected on the receipt.
6. Track upcoming revenue and past-due accounts
The Finance dashboard shows projected revenue for the next 30 days, past-due totals, and recent payments at a glance. Use the Upcoming Payments table to forecast cash flow and the Statements tool to export per-student CSV/PDF history for accounting.
