Why payments are the most fragile part of your school
Most dojo owners under-invest in billing systems until they have a problem. By the time you notice 12 past-due accounts, you've already lost a month of revenue, and the awkward "your card was declined" conversation is now ten times harder. Good payment infrastructure is invisible when it works, and catastrophic when it doesn't.
1. Move every student to recurring billing
Manual collections - Venmo, Zelle, "I'll bring a check next week", kill schools. Move every active student onto a recurring monthly (or annual) plan on a saved card or ACH bank account. Two reasons:
- Predictable cash flow, you can forecast 90 days of revenue and hire/expand accordingly.
- Lower churn, students who set up a recurring payment stay 2-3× longer than month-to-month manual payers.
2. Offer ACH for high-ticket memberships
Cards typically run 2.9% + 30¢, fine for $99/mo tuition, painful for a $2,000 annual paid-in-full. ACH bank transfers cost a fraction (Dojo Champ caps ACH at $5 per transaction) and are perfect for paid-in-full plans, family bundles, and high-ticket BJJ or MMA programs. Offering ACH as the default for plans over $500 can save thousands per year in processing fees.
3. Automate failed payment recovery
Industry data shows 5-7% of recurring card charges fail every month, expired cards, exceeded limits, fraud blocks. Without an automated system, most of those become silent churn. A working recovery flow has three pieces:
- Smart retries on day 1, 3, and 7 (Stripe's network-aware retry schedule).
- Branded dunning emails with a one-click link to update the card.
- Past-due dashboard for personal follow-up on anything still unpaid after 7 days.
Done well, you'll recover 30-40% of failed charges that would otherwise be lost.
4. Get family pricing right
Roughly 40% of students at a typical school have a sibling enrolled. Manual family discounts (10% off the second student, 20% off the third) are error-prone and rarely audited. Build the rule into your membership configuration once and let the system apply it on every cycle. Bonus: families on a multi-student plan churn 50% less than single-student accounts.
5. Pause first, cancel last
When a student wants to leave, offer a freeze (30/60/90 days) before a cancel. About 40% of frozen members come back; only ~5% of cancellations do. Freezing also keeps the relationship warm, they're still in your roster, still getting communications, still your student.
6. Handle refunds cleanly
Refunds are a customer-experience moment. Issue them from a single dashboard, log a note explaining why, and let the system update the receipt automatically. Don't issue refunds outside your billing system, you'll lose the audit trail and the accounting reconciliation gets ugly fast.
