How to Run a Martial Arts Tournament

A complete organizer's checklist for school owners, from locking the venue twelve weeks out to exporting results the same evening. Divisions, bracket types, weigh-in procedures, referee coordination, entry-fee budgeting, and digital scorekeeping.

    10-12 weeks out, foundation

    • Confirm date against school, federation, and competing local event calendars
    • Book the venue and verify mat count, ceiling height, and load-in access
    • Secure event liability insurance and any sanctioning body approval
    • Set the rule set (points, submissions, contact level) per age and rank band
    • Draft the budget: venue, mats, medals, officials, insurance, printing, staffing

    6-8 weeks out, registration open

    • Publish divisions: age band, gender, rank, weight class, and style
    • Open online registration with per-division entry fees and waivers collected up front
    • Set an early-bird deadline to pull registrations forward and forecast mat needs
    • Recruit referees, scorekeepers, and volunteers; confirm their arrival times
    • Promote to your own students first, then to partner schools and local clubs

2 weeks out, brackets and logistics

    • Close registration and freeze divisions; merge or split any division under 3 or over 16
    • Seed brackets, single elimination for large divisions, round-robin pools for small ones
    • Publish the ring timetable so competitors know their approximate start window
    • Order medals, trophies, and certificates against the confirmed competitor count
    • Brief officials on the rule set, protest procedure, and medical stoppage authority

    Event day, running the floor

    • Weigh-ins and equipment checks first, in a private area with a written log
    • Start all rings on the published timetable; never hold a ring for a late competitor
    • One scorekeeper per ring plus a single bracket controller managing progression
    • Post live results so parents and coaches stop crowding the head table
    • Run medal ceremonies per division as it completes, not all at the end

After the event, convert the work

    • Export results, issue certificates, and update every competitor rank record
    • Send a thank-you and photo recap within 48 hours while enthusiasm is high
    • Reconcile the budget: actual cost per competitor vs. projected
    • Debrief with officials on rule disputes and timetable slippage
    • Follow up with visiting-school leads and unenrolled spectators

    Choosing a bracket format

    Single elimination

Fastest and most predictable, an 8-competitor division resolves in 7 matches. Best for large events with many divisions and limited mat hours. Add a true third-place match so bronze is earned rather than shared.

    Double elimination

Every competitor gets at least two matches, which parents in kids divisions strongly prefer. The tradeoff is roughly double the mat time, so reserve it for smaller events or flagship divisions.

    Round-robin pools

Ideal for divisions of 3-5 competitors where a bracket would be lopsided. Everyone fights everyone; rank by wins, then head-to-head, then points scored.

    Budgeting the entry fee

Build the entry fee from cost per competitor, not from what the event down the road charges. Sum your fixed costs (venue, mats, insurance, officials, medals, printing, payment processing) and divide by a conservative turnout estimate, usually 60% of your optimistic projection. Most local events land at $60-$95 for a first division and $20-$35 per additional division, with spectator tickets, concessions, and vendor tables carrying the margin.

Track registrations, waivers, and payments in one place so a late surge does not mean rebuilding brackets by hand.
