Improving Student Retention in Dojo Champ
How to use Dojo Champ to identify at-risk students, automate re-engagement, and improve retention at your martial arts school.
1. Find your at-risk students
Open Analytics → Retention. Dojo Champ scores every active student daily based on:
- Attendance frequency vs. their personal baseline
- Days since last attended class (180-day lookback)
- Payment status (failed cards, past-due invoices)
- Communication engagement (email opens, portal logins)
Students flagged At Risk have had no attendance in 14+ days. Sort by risk score and start your weekly outreach here.
2. Set up automated re-engagement workflows
Go to Communications → Automated Workflows and enable:
- Missed 2 Classes, friendly SMS check-in
- Missed 7 Days, email from the head instructor
- Birthday & Anniversary, personal recognition
- Welcome Series - 21-day onboarding for new students
Workflows respect each student's communication preferences and unsubscribe status automatically.
3. Handle pauses and cancellations
From a member's Membership tab you can Freeze a membership for 30, 60, or 90 days. Freezes pause billing and keep the student in your roster, about 40% of frozen members reactivate vs. ~5% of cancellations.
When a cancellation does happen, the system automatically logs a canceled_at date so you can run win-back campaigns 30 and 90 days later.
4. Recover failed payments fast
Payment friction is a hidden retention killer. Check Finance → Past Due weekly. Dojo Champ automatically:
- Retries failed cards on Stripe's smart schedule
- Emails the parent/student with a one-click update-card link
- Flags accounts past-due for 7+ days for personal follow-up
5. Reward progress visibly
Use Belt Promotions and Stripes in the member profile. The student portal shows a visual progress bar to each student/parent, one of the strongest retention signals you can give them.
